These services offer you the opportunity of using the DvISE services when you are using programs that are not able to operate with the FaxWare printer driver. As well as this, they allow messages to be sent from computers running under an operating system other than Microsoft Windows, such as DOS, AS400, or UNIX/Linux. Messages are sent simply by saving files with a previously specified file extension in a directory known as a file scan directory. As well as the message text, the recipient address (fax number, eMail address, etc.) must be included in a file of this type.

The address is specified using special DvISE commands, such as or (see Section 16). The file must be created as a pure DOS-ASCII or PCL file. It is possible to set up several file scan services, with each one checking a certain directory for new send jobs. The directory to be monitored in each case and the filename extension by which a send job is to be recognized must be specified in the configuration of the file scan services.

To create a new file scan service, proceed as follows: select the »Configuration -> Services -> FileScan Services« menu option and press the [INSERT] key or click on »New« to create a new entry. Enter the complete UNC path to the required directory in the corresponding input field and specify the file extension that you want to be used in this case.

For example, if you want all files that are saved with the extension ».PCL« in the \DAVID\IMPORT directory on the DvISE server to be recognized as send jobs, make the following entry:

\\Servername\Vol\DAVID\IMPORT\*.PCL

It is essential that the user »DVU-« or »FaxWare User « has access to the file scan directories because it is their account that is used for processing the jobs. The predefined default service should not be changed.

As soon as a file with the specified extension is found in a file scan directory, it is processed as a send job. The file is subsequently deleted from the file scan directory.

The following parameters are available for setting up the file scan services:

Dataformat
You need to determine the data format for the files that are to be placed in this directory. This entry is crucial for converting the send jobs.

  • (Default)The send jobs are present in the format of an Epson FX-80 printer driver and are converted into the fax format (TIFF G3).
  • PCL FAXThe send jobs have been created with an HP LaserJet-compatible printer driver and are intended for processing with a PCL converter. In order to be enable this function to be used, an appropriate converter must be installed (for example PCL Conversion Server).
  • PreprocessorThis selection is provided for when it is intended to use external converters.
  • eMailThe send jobs are present in ASCII format and are transferred to DvISE PostMan for sending as an eMail. By using the DvISE command HTML-formatted eMails using the file scan services. As a result it is possible to use HTML tags in the message text. When the send job is processed by the file scan services, these HTML tags are recognized and converted. In addition, the message text is also edited in pure text format. This ensures that the information contained in the message can also be read by recipients who do not have the possibility of receiving HTML eMails or who have deactivated this option.
  • VoiceMailThe send jobs are present in Wave format and are transferred to an appropriate CSS port for sending.
  • TMail (only when using the »Extended Telephony Module«)The send jobs are present in ASCII format and are transferred to an appropriate CSS port as a TMail.
  • SMSThe send jobs are present in ASCII format and are transferred to a CSS port as an SMS message.
Printer
Here you can select a printer filter by means of which all documents sent from the file scan service are to be printed out automatically.

Form layout
Select a previously created form layout which you want to be used whenever you send faxes via this file scan service.

Ignore bad Jobs
If this option is activated, jobs which contain commands that DvISE cannot understand will not be sent. Instead, an error message is generated both in the error log and in the out directory belonging to the user concerned.

Report File
Activating this option has the effect that an acknowledgement file is created in the file scan directory; this file provides information about the status of the send jobs. An acknowledgement file has the extension ».

  1. Line 1: status (0=being processed; 1=completed)
  2. Line 2: error number
  3. Line 3: free
  4. Line 4: error message in plain text
It is not possible to create acknowledgement files for file scan services with the data format »PCL-FAX« because with this format the service layer does not process the file but instead forwards the file immediately to the PCL Conversion Server, which then writes the ready-converted file to the API directory

Activity Time Frame
Here you can specify the period of time within which send jobs are to be processed by this service. Jobs that are issued outside the active period will not be processed until the next active period is started.

Include file
Include files are text files which can also contain DvISE commands (see Section 16) in addition to any required text. The contents are inserted in the message text. The »Before Include file« is inserted in front of the message text.

Any DvISE commands contained in the file can be overwritten by corresponding entries in the text of the send job. The contents of a »After Include file« are inserted after the message text. Any DvISE commands contained here may override the settings that have been selected in the file included before the message or in the send job. The user is therefore not able to prevent commands in a file included after the message from being executed.
